Google Mail for Outlook Users

Gmail for Outlook Users: Complete Beginner's Guide

Gmail is Google's browser-based email service. Core tasks (send, reply, search, attach) work much as in Outlook. The big shift is that Gmail has no folders. It uses labels and filters instead. support.google

1. Get started

  1. Create or sign in to a Google account and go to mail.google.com.
  2. Click Compose (top left) to write a message.
  3. Optional: add your existing accounts under Settings > See all settings > Accounts and Import.
  4. If you also use Outlook on this computer, you can connect Gmail via IMAP. Gmail labels then appear as folders, though nested labels may not sync perfectly. learn.microsoft

2. Outlook-to-Gmail translation

In Outlook In Gmail
Folders Labels. Drag messages onto a label as you would into a folder iit.
Rules Filters (Settings > Filters and Blocked Addresses) support.google.
Categories Labels, which can be color-coded.
Deleted Items / Junk Email Trash / Spam.
Sent Items Sent.
Archive Archive button. The message leaves Inbox but stays in All Mail.
Message list view Conversation view by default, with replies grouped into threads. You can change this in settings support.google.

3. The key concept: labels

A message in Outlook lives in one folder. In Gmail, one email can carry several labels and appear under each without duplicates. Labels are tags on messages held in a single master store called All Mail. Inbox, Sent, and Spam are also just views of that store. workspace.google

  • Nest labels with a slash, such as "Clients/Acme/Contracts". support.google
  • Remove the Inbox label by archiving. The message stays searchable.
  • Habit change: stop moving mail to file it. Apply a label, then archive.

4. Search: Gmail's strongest feature

Search replaces most of the folder-browsing you did in Outlook. You can type operators into the search bar, or use the point-and-click Search options form. Both give the same results .

Two ways to search

  • Search bar: type words or operators (short commands) and press Enter. You can combine operators to narrow results. computerworld
  • Search options form: click the Show search options icon at the right end of the search bar. Fill in fields such as From, To, Subject, Has the words, Doesn't have, Size, Date within, and Has attachment, then click Search. This is the closest match to Outlook's Advanced Find. reddit

Core operators

Operator What it does Example
from: / to: Sender or recipient from:amy@example.com
subject: Words in the subject line subject:invoice
has:attachment Messages with attachments has:attachment
filename: Attachment name or type filename:pdf
label: Messages under a label label:clients
after: / before: Date range after:2026/01/01

larger: / smaller: Message size larger:10M
in:anywhere Include Spam and Trash in:anywhere receipt

Operators are from Google's help page, plus size and in:anywhere from third-party guides. Capitalize OR and AND. computerworld

Example: find a contract PDF

Say you remember that a colleague named Amy sent a PDF contract sometime this year.

  1. Click the search bar and type: from:amy@example.com has:attachment filename:pdf subject:contract after:2026/01/01
  2. Press Enter and review the results.
  3. To narrow further, add -draft to exclude messages containing "draft".
  4. To widen to two senders, use {from:amy@example.com from:david@example.com}. computerworld

Doing the same with the form: 1. Click Show search options. 2. In From, enter amy@example.com. In Subject, enter contract. 3. Check Has attachment, then choose a Date within option. 4. Click Search to confirm the right emails appear. reddit

Turn a search into a filter

This is the Gmail equivalent of an Outlook rule: 1. Open Show search options and enter your criteria. 2. Click Search to check the results. 3. Click Create filter at the bottom of the form. 4. Choose actions, such as Apply the label "Contracts" or Skip the Inbox, then confirm. reddit

Any query using Gmail's advanced search syntax can also be used in a filter.

Search tips

  • Start broad, then add one operator at a time.
  • Search within a label, for example label:clients invoice.
  • Gmail doesn't have saved searches natively, but labels plus filters achieve the same result.

5. Forward new mail to another address

Gmail can forward either all new mail or only messages matching a filter. Both methods need the destination address to be added and verified first. Forwarding applies to new mail only. It doesn't resend what is already in your inbox.

Before you start

  • Use Gmail in a browser on a computer. The mobile apps don't support these settings. rows
  • Work or school accounts: your admin must allow forwarding, or the option won't appear.
  • By default, automatic forwarding sends all your messages to the new address. To send only some, use a filter instead.

Step 1: Add and verify the destination (required)

  1. Click the gear icon, then See all settings.
  2. Open the Forwarding and POP/IMAP tab.
  3. Under Forwarding, click Add a forwarding address.
  4. Enter the address (only one at a time) and click Next, then Proceed, then OK. adobe
  5. Open the destination inbox and find the "Gmail Forwarding Confirmation" message. Click its link, or copy the confirmation code back into Gmail settings. rows
  6. Refresh Gmail. Gmail won't forward to an unverified address. reddit

Option A: Forward everything

  1. In the same tab, select Forward a copy of incoming mail to and choose the verified address.
  2. Choose what happens to the original: keep it in the Inbox, mark as read, archive, or delete. reddit
  3. Click Save Changes.

Caution: "Delete" removes the original from your Gmail after forwarding. Keep a copy unless you are sure.

Option B: Forward only specific mail (recommended)

This uses the search skills from Section 4. 1. Leave the main "Forward a copy" option disabled after verifying. coursera 2. Click Show search options in the search bar and enter criteria, such as From, Subject, Has the words, or Has attachment. rows 3. Click Create filter. 4. Check Forward it to and choose the verified address, then click Create filter again. geeksforgeeks 5. Optional: check "Also apply filter to matching conversations" to forward existing matches. By default, the filter forwards only new emails. geeksforgeeks

Example: to send invoices from a vendor to your bookkeeper, use criteria from:billing@vendor.com has:attachment, then choose Forward it to your bookkeeper's address.

Forwarding to multiple addresses

Gmail's single forwarding option takes one address. To reach several, create a separate filter for each address, each pointing at a verified destination. rows

Troubleshooting

  • No forwarding option: your Workspace admin likely disabled it.
  • Nothing arrives: check that the address shows as verified and look in the destination's spam folder.
  • Gmail's "Forward" button on a single message is different. It sends only that email, once.

6. Moving your Outlook data

  • Mail with folders: the admin migration route (Google Workspace) converts each folder's full path into a label name. Gmail's built-in import brings messages but no folders .
  • Mapped system folders: Drafts map to Draft and Junk Email to Spam. Archive and Outbox become custom labels with an underscore suffix. geeksforgeeks
  • Contacts and calendar: export from Outlook as CSV and ICS, then import into Google Contacts and Google Calendar. geeksforgeeks
  • Rules: Outlook rules don't transfer. Recreate them as filters. geeksforgeeks

7. First-week checklist

  1. Create 5–10 top-level labels rather than recreating every old folder.
  2. Learn the Archive button and keyboard shortcuts (enable them in Settings).
  3. Recreate your three most important Outlook rules as filters.
  4. Practice three searches using from:, has:attachment, and a date operator.
  5. Set up forwarding if you need it, using a filter rather than forwarding everything.
  6. Try turning off conversation view if threading feels confusing.
  7. Set up a signature in Settings > General.
